Two year fixed term appointment

Broadband 2 salary range: £27 901 to £34 326

Position Security Assessment: Confidential (Australian National)

It is a condition of this appointment that any candidates applying for this position must be able to obtain and maintain an Australian National security clearance to “Confidential Level”. Under Australian law, persons with Australian or dual Australian citizenship can obtain such security clearance and are welcome to apply.


DUTY STATEMENT

 

In accordance with Workplace Diversity, Health and Safety and Industrial Democracy principles.


In accordance with the Passport Act (2005), and the guidelines contained in the Manual of Australian Passport Issue (MAPI) and the Consular Handbook, undertake the following duties:

1. As a team member, be responsible for the full range of passport processing functions utilising the Passport Issue and Control System (PICS) and DELTA.

2. Answer counter and telephone enquiries on passports related matters, including, where directed, performing certain notary acts as approved by Canberra (e.g. witnessing signatures, certifying copies of documents, etc).


4. Under delegation from the Finance Manager, London, receive passport and consular fees and issue receipts using CASHMAN. Balance accounts daily for monies received and pay these into the Paymaster's Office daily.

5. Prepare correspondence relating to more complex passport applications and engage an Approved Senior Officer (ASO) for a decision.

6. Primary tasks include:

• interviewing applicants
• ensuring applications are completed correctly
• assessing applications received by mail
• performing Eligibility Checks. Printing/laminating passports
• despatching passports to clients in the UK.

Secondary tasks may include:

• colour and Kodak scanning
• verifying the data on the application form using optical character recognition software
• conducting telephone checks on guarantors and/or parents of child applicants.

7. Other duties as directed.

SELECTION CRITERIA

A. Demonstrated ability to perform general administrative/processing activities, interpret and apply legislation, policies, guidelines and instructions

B. Well developed planning and organisational skills to manage multiple tasks and priorities in a high volume, client-focussed environment in order to achieve required outcomes.

C. Ability to use Microsoft Windows applications and accurate data entry skills.

D. Well developed communication, interviewing and liaison skills including the ability to communicate empathically, clearly and simply with people from diverse backgrounds both in person, over the phone and in writing.

E. Ability to contribute to the effective delivery of a service by providing a flexible, courteous, prompt and efficient service to internal and external clients.

F. Ability to work harmoniously with other team members in a busy, processing environment by demonstrating flexibility, reliability, adaptability, initiative and resourcefulness
